Unloading info

Timings:

The event will open to the public at 10am and traders will begin packing down at around 3pm.
Unloading will begin at 8:15am for those with electricity and 8:30am for those without. People will not be able to pack up until the event is finished at 3pm unless they have prior agreement from myself.
 

Venue Address:

Ross-on-Wye Vegan Market is taking place on Market Place and Broad Street which will have a road closure in place for the event. It is outside and open to the public at all times. During the event no vehicles will be allowed to enter the site.
 
Directions
The address above should take you directly to the site. There will be a road closure in place but traders are able to access the road to unload and set up.
Unloading
Traders who have booked electricity are able to set up from 8:15am. Those without can set up from 8:30am.
 
It is unloading only on site. Once you have unloaded please get back into your vehicle to park it elsewhere. You may erect your gazebo but must not start setting up your stall until you have moved your vehicle. All vehicles must be off site by 9:30am.
 
Parking
  • I would advise trying to park in the Corn Exchange car park as this is one of the closest

  • Unfortunately parking is not free on a Saturday.
Your pitch
You are required to bring your own gazebo, tables and chairs for this event. Your pitch accommodates a 3m x 3m gazebo (unless otherwise arranged). Please also bring appropriate weights for your gazebo even if the forecast is for low winds. The recommend weight is at least 16kg on each leg.
 
Floorplan
  • Pitches are shown on the map attached.
  • Places will be allocated on arrival. Please bare with us as this is a new locaiton so there may be a bit of wigglying around to ensure we fit in the site nicely.
  • Please find and speak to someone in a high vis before setting up your pitch to confirm you are in the correct place.
  • Traders who require electricity are marked in red.
  • There is a chance your position will change on the day depending on what time you arrive. If you arrive late we may fill your place with another trader to not leave a gap and put you on an end so you can set up more safely.
  • If you plan to switch pitches with another trader please consult both myself and the other trader first.
  • Any special requests for pitch placement will have been taken into consideration.
  • If you are unhappy with your pitch please make the event manager aware as soon as possible.
Electricity
Electricity will only be provided to those who booked in advance of the event. If you have booked electricity please bring extension cables with you and ensure that all your equipment is PAT tested. Please bring cables and adaptors with you so you can connect to the power. The connection is a 16amp 3 pin socket.
Please also bring a cable cover to cover your wires and make sure all your cables are appropriate for outdoor use.
Wifi
There is no wifi for this event but there is good 4G connection in the town centre.
Waste
Please take all of your waste with you as per our terms and conditions. We are unable to accommodate your waste. Any waste left on site will encour a clean up fee form the council which we will pass on to you.
Pack up
  • The event finishes at 3pm.
  • Strictly no packing away before as this could become a safety issue with patrons still at the event.
  • No vehicles allowed onsite till 3pm.
  • Vehicles will enter the site the same way you drove in.
Health & Safety
Please make sure you have all your correct documentation with you in case Environmental Health officers turn up and ask to see it.

What to bring:

  • A copy of your public liability insurance.
  • A completed risk assessment
  • Hand sanitizer for yourself and for customers if they are handling your products.

If you are serving food:

  • A copy of your Food Safety Certificate
  • Allergen information and risk assessment (including fire assessment if cooking)
  • Appropriate sneeze guards covering your food
  • Way of cleaning your hands before you touch food
  • Appropriate floor covering to protect the ground against oil spills - oil spills could encour a clean up fee from the council.
All traders must have public liability insurance. If you do not have these you will not be able to trade on the day.
Verbal/Physical Abuse
Please note that any verbal or physical abuse towards other stallholders, members of the public, caretakers or management will not be tolerated. Any stall holder exhibiting such behaviour will be asked to leave immediately and all future events booked in with us will be immediately cancelled.
Fire Procedures
In case of a fire or a major incident please evacuate the area and head to the front of The Maltings Shopping Parade. Do not re-enter the event site until the event manager says it is safe to do so. Please encourage customers to follow you.

Expected footfall
Last years event was pretty busy customer wise. We will be running Facebook, Instagram and google adverts and listing the event on free and paid for online listings.
